Versee is field-operations and customer-growth software for service businesses. It is operated by Versee Systems LLC ("Versee", "we", "us"), with its principal office at 6214 Sutter Ave, Richmond, CA 94804. You can reach us about privacy at privacy@versee.us.
This policy explains what information we collect, how we collect it, why we use it, who we share it with, how long we keep it, and the choices you have, including how to delete your account. It applies to the Versee mobile app, the web app at https://app.versee.us and any company-specific address a business runs Versee on, the customer tracking and portal pages, and the website versee.us.
1. The short version
- Versee is used by businesses (a cleaning, moving, or home-services company, for example) and by their staff. We collect the account, device, and work information needed to run the app for them.
- Those businesses use Versee to manage their own customers. When a business enters its customer's name, phone, or move address into Versee, we process that information on the business's behalf and under its instructions. The business is responsible for that data; we are its service provider.
- We collect precise location from one team member's phone per job, only while that team member is en route to or on site at an assigned job, so dispatchers and the customer can see arrival progress. Tracking stops when the job ends.
- We do not sell personal information, we do not show ads, and we do not use your data for advertising or "tracking" across other companies' apps and websites.
- Card details are entered directly into Stripe. Versee never receives or stores card numbers.
- You can delete your account without contacting support. See Section 9.
2. Who this policy covers
We treat three groups differently, because the law does and because it is clearer.
| Who you are | What that means here |
|---|---|
| Account users, meaning owners, admins, office staff, team leads, and field staff of a business that uses Versee | We are responsible for your account, device, and usage information (Sections 3.1, 3.2, 3.5). Your employer controls the work and pay information it enters about you (Section 3.2). |
| Customers of a business that uses Versee, meaning you booked a job or a service with a company that runs on Versee | That company is responsible for your information. We process it for them (Sections 3.3 and 11). Contact the company first for questions or deletion requests; we will help them respond. |
| Visitors and referral leads, meaning you used the versee.us website, submitted a contact form, or filled in a referral form a customer sent you | Section 3.6 and Section 11. |
3. Information we collect
3.1 Account and profile information (account users)
- Identity and contact: first and last name, email address, phone number, profile photo if you add one, and your role in your company.
- Login credentials: a password, held only in hashed form by our authentication provider, or a Google account identifier if you choose "Continue with Google". We do not receive your Google password.
- Company information entered by an owner or admin: company name, logo, brand color, business address, phone, email, website, business license number, business hours, and default job terms.
How we get it: you type it in, or the owner or admin of your company enters it when they invite you.
3.2 Work, scheduling, and pay information (account users)
Your employer uses Versee to run its operations, and it enters or generates information about your work: job assignments, availability and time-off requests, hours worked including drive time, hourly rate, tips allocated to you, commission arrangements if you are a sales representative, performance points and rewards, and the jobs and documents you handled.
We do not collect Social Security numbers, dates of birth, driver's license numbers, or bank account details for account users. If your company pays sales commissions through Deel, the payment details live in Deel under your company's Deel account; Versee sends Deel only a contract reference, an amount, and a description.
How we get it: entered by your employer, or generated automatically when jobs are scheduled, worked, and completed.
3.3 Customer and job information (customers of a business)
When a business schedules work for you, it records in Versee: your name, phone number, email, the addresses and any access notes for the job, an optional home address and birthday if the business keeps those in its customer records, job details and notes, quotes, prices, and payment status.
If you use the customer pages the business sends you, we also collect:
- Signatures and signed documents. When you sign a document such as a bill of lading, we store the signature image or typed signature, your name, the text you agreed to, the time, your device's IP address and browser type, and a cryptographic fingerprint of the document so it cannot be altered afterward.
- Ratings, reviews, referrals, and raffle entries you choose to submit, including the name, email, phone, and move date of a friend you refer.
- Marketing preferences. Whether you have agreed to receive marketing texts or emails from the business, and any opt-out you send.
- Login codes. A one-time code sent to your phone or email to open your portal. The code expires in ten minutes and is deleted once used.
How we get it: entered by the business's staff, sent by a system the business has connected to Versee (for example its CRM), or entered by you on a page the business sent you.
3.4 Location information (account users, while on a job)
Versee tracks location for one team member per job, the person the business designates as the job's tracker, and only while that job is in an en route or on site state. During that window the app records the phone's precise position roughly every 30 meters of movement, including when the phone is locked or the app is in the background, so that:
- dispatchers can see where the team is and whether it has arrived, and
- the customer can watch the truck approach on a tracking page and receive an accurate arrival time.
Tracking ends when the job is completed or the tracker role is removed. Businesses can turn location tracking off for their entire company, in which case no location code runs. Your phone's operating system also lets you deny or revoke location permission at any time; without it the app still works, but arrival times must be updated by hand.
We do not collect the location of customers, and we do not track anyone off the clock.
Retention: location history is kept for as long as the job record it belongs to exists, and is deleted with it.
3.5 Device, diagnostic, and technical information
- Push notification tokens for your device, so we can send job alerts, and the platform (iOS, Android, web) and browser type of the device.
- Crash and error reports sent to our error-monitoring provider, containing the error, the screen, your internal account and company identifiers, and device model, operating system, and browser version. We strip names, emails, phone numbers, addresses, and similar details from these reports before they leave the app.
- IP address and browser type when you sign a document, click a referral, review, or share link the business sent you, or when we apply rate limits to protect login and form endpoints. We do not keep a general log of every page you visit, and we do not use analytics or session-recording tools.
3.6 Website and support
If you use the contact form on versee.us or email us, we keep your name, email, company, and the message so we can reply. The website uses privacy-preserving, cookieless traffic measurement provided by our hosting provider and sets no advertising or cross-site cookies.
3.7 What we do not collect
We do not access your contacts, calendar, camera roll, or microphone. Photos and files reach Versee only when you deliberately choose one to upload. We do not collect health, biometric, or government-identification data. A drawn signature is stored as an image of the signature only; it is not used to identify anyone biometrically.
4. How we use information
| Purpose | Examples |
|---|---|
| Providing the service | Creating accounts, scheduling and dispatching jobs, showing staff their assignments, calculating hours and pay, generating documents and invoices, sending job status texts and emails, showing live arrival progress to dispatch and the customer. |
| Payments | Taking card and cash payments for jobs through Stripe, recording tips and deposits, paying the business through its connected Stripe account, keeping the payment ledger. |
| Communication | Transactional messages about a job (confirmation, en-route, arrival, receipt, document to sign, review request), account and security messages, and support replies. Marketing messages only with consent (Section 8). |
| Security and integrity | Authentication, one-time login codes, rate limiting, fraud and abuse prevention, tamper-evident document records, audit trails. |
| Reliability | Diagnosing crashes and errors, monitoring uptime and performance. |
| Legal | Keeping tax, accounting, and signed-document records; responding to lawful requests; enforcing our terms. |
| Improving Versee | Understanding which features are used through aggregate, de-identified counts. We do not use third-party product analytics or session replay. |
We do not use personal information for advertising, we do not build advertising profiles, and we do not make automated decisions with legal or similarly significant effects about you.
5. How we share information
We share personal information only in the ways listed here. We do not sell it, and we do not share it for cross-context behavioral advertising.
5.1 With the business you work for or hired
Account users' work information is visible to their company's owners, admins, and dispatchers according to the roles the company sets. A customer's job information is visible to the staff assigned to that job and the company's office staff.
5.2 With the customer, during a job
While a job is en route or on site, the customer's tracking page shows the assigned team member's live position and first name. It does not show their phone number or other personal details.
5.3 With service providers (sub-processors)
These companies process information for us, under contracts that limit them to providing their service, and each maintains security and privacy commitments at least equivalent to those described here.
| Provider | What they do for us | Information they receive |
|---|---|---|
| Supabase | Database, authentication, file storage, and server functions | All application data, stored in the United States |
| Vercel | Hosting for the web app and website; server-side PDF rendering | Web traffic; invoice and document content while a PDF is generated |
| Stripe | Card and Apple Pay processing; payout accounts for businesses | Card details you enter directly into Stripe's secure fields; name, email, amount, and a job reference from us. Business owners' identity and bank details are collected by Stripe during its own onboarding |
| Twilio | Text messages: login codes, job status texts, staff alerts, and consented marketing texts | Phone number and message content |
| Mailgun | Email delivery: receipts, documents, notifications, and consented marketing email | Email address, name, subject, content, and invoice or document attachments |
| Google Maps Platform | Address suggestions, geocoding, drive-time estimates, static map images | Addresses you type and job coordinates |
| Mapbox | Map display and route drawing | Job coordinates and the tracked team member's position |
| Apple and Google (Firebase Cloud Messaging) | Delivering push notifications to iOS and Android devices | Device push token and notification content |
| Sentry | Crash and error monitoring | Error reports with personal details removed, internal account and company identifiers, device and OS details |
| Deel | Contractor commission payouts, only for businesses that connect Deel | Contract reference, payout amount, description |
| "Continue with Google" sign-in, if you choose it | Your Google account email and name |
5.4 With systems a business connects
A business may connect its own tools to Versee, for example a CRM that sends new leads into Versee or receives job events from it. The business chooses those connections and is responsible for the third party's handling of the data.
5.5 Other cases
We may share information when required by law or legal process; to protect the rights, safety, or property of Versee, our users, or others; with professional advisers under confidentiality; or as part of a merger, acquisition, or sale of assets, in which case this policy continues to apply until you are told otherwise.
6. How long we keep information
| Information | Retention |
|---|---|
| Account and profile | Until you delete your account, then removed within 30 days, except as noted below |
| Job, customer, and scheduling data of a business | For as long as the business's account is active. When a business closes its account we delete or return its data within 90 days, except records we must keep |
| Location history | For as long as the job record it belongs to exists; deleted with the job |
| Payment ledger, invoices, tips, commissions, and payouts | At least 7 years for tax, accounting, and dispute purposes. These records are append-only by design and are not edited or deleted on request |
| Signed documents and signature records (name, time, IP address, browser, document fingerprint) | For the life of the job record and as long as the law or a dispute requires. These records are immutable by design |
| Marketing consent and opt-out records | Indefinitely, as proof that an opt-out was honored |
| Message delivery and system event logs | For as long as needed to operate the service, prove delivery, and investigate problems |
| Crash reports | Up to 90 days at our monitoring provider |
| One-time login codes | 10 minutes |
| Customer tracking and portal links | 30 days, then they stop working |
| Website contact messages | Up to 2 years |
Backups are rotated on our provider's schedule and expire within 30 days after deletion from the live system.
7. Payments
Payments are processed by Stripe. When you pay by card or Apple Pay, your card details go straight to Stripe and never pass through Versee's servers or database. Versee receives and keeps only what it needs to run the job: the payment status, the amount, the tip, the payment method type (card or cash), a Stripe transaction reference, and any card surcharge the business applies. Cash payments recorded by staff are logged in the same ledger. Stripe's handling of your data is described in Stripe's privacy policy.
8. Your choices
- Location. Grant or revoke location permission in your phone's settings. Businesses can disable tracking company-wide.
- Push notifications. Turn them off in your phone's settings; you can still see everything in the app.
- Marketing texts and emails are sent only if you opted in. Reply STOP to any marketing text or use the unsubscribe link in any marketing email; we honor opt-outs automatically and do not re-enable them without a new opt-in. Transactional messages about a job you booked (confirmations, arrival, receipts, documents) are not marketing and continue while the job is active.
- Google sign-in. You can disconnect Versee from your Google account in your Google account settings; use a password instead.
- Access and correction. Account users can view and edit their profile in the app. Customers should ask the business that holds their records; we will assist.
9. Deleting your account and your data
You do not need to open a support ticket to delete your account.
Delete your user account (any role). Go to versee.us/delete-account, which walks you through deleting your account from inside the app or, if you no longer have app access, by verified request. We will ask you to confirm and to re-enter your password or a code. Your account is closed and your personal profile information (name, email, phone, photo, login, push tokens, and location history attributed to you) is deleted within 30 days. We send a confirmation when it is done.
Some records are kept in a form that no longer identifies you by name, because the business that employed you and the law need them: hours worked and pay totals, tips, commission and payout records, and signed documents you collected or witnessed. Those records are retained under Section 6.
If you are the owner of a company account, you will be asked to transfer ownership to another user or to delete the company first.
Delete a company account (owners). Deleting the organization removes the company's customers, jobs, schedules, location history, unissued documents, messages, marketing data, files, and all user accounts that belong only to that company, within 30 days. Issued or signed documents and the payment ledger are archived for the retention period in Section 6 with customer identifiers minimized where the law allows, and then deleted. The company's Stripe connected account is disconnected from Versee; the company keeps its own Stripe account.
Customers of a business. Contact the business that holds your information; it can delete your customer record and job details in Versee, subject to the same financial and signed-document retention. If you cannot reach the business, email privacy@versee.us and we will help.
Anyone can also email privacy@versee.us to request deletion or a copy of their information. We verify requests using the email or phone on the account and respond within 45 days.
10. Security
We use administrative, technical, and organizational safeguards designed for the sensitivity of the data we hold, including:
- encryption in transit (TLS) for all connections, and encryption at rest provided by our infrastructure provider;
- row-level access controls in our database so each company's data is isolated from every other company's, and role-based permissions within a company;
- payment and document records that are append-only and cannot be edited, even by us, once finalized;
- private storage for signed documents, served only through short-lived signed links;
- one-time codes with short expiry for customer pages, rate limiting, and signature verification on incoming webhooks;
- removal of personal details from crash reports before they are sent to our monitoring provider.
No system is perfectly secure. If we learn of a breach affecting your information we will notify you and the relevant authorities as the law requires. If you believe your account has been compromised, contact security@versee.us.
11. Businesses and the customer data they process
Businesses that use Versee are responsible for the personal information of their customers and staff that they enter into the service. They decide what to collect and why, must have a lawful basis and the necessary consents (including for marketing texts and emails), and must respond to their customers' privacy requests. Versee processes that data only to provide the service, as described in this policy and in our Terms of Service, and assists businesses with requests they receive. A data processing addendum is available on request at privacy@versee.us.
12. No advertising, no tracking
Versee shows no advertising. We do not link information collected in the app with data from other companies for advertising or advertising measurement, and we do not share data with data brokers. In Apple's terms, Versee does not "track" you, and the app does not ask for tracking permission. Live location during a job is a feature the business turns on for its own operations; it is not advertising tracking.
13. Where your information is stored
Our systems are hosted in the United States. If you use Versee from outside the United States, your information is transferred to and processed in the United States, where privacy laws may differ from those in your country.
14. Children
Versee is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact privacy@versee.us and we will delete it.
15. Your privacy rights
Depending on where you live, you may have the right to know what personal information we hold about you, to receive a copy, to correct it, to delete it, to restrict or object to certain processing, and to not be discriminated against for exercising these rights. Residents of California and other US states with comprehensive privacy laws have these rights under their state law; we do not sell or share personal information for cross-context behavioral advertising and have not done so in the past 12 months.
To exercise a right, use the tools in Sections 8 and 9 or email privacy@versee.us. You may use an authorized agent; we will verify the agent's authority. If you are a customer of a business that uses Versee, we will forward your request to that business and help it respond. If we deny a request you may appeal by replying to our response.
16. Changes to this policy
When we change this policy we will update the date at the top and, for material changes, notify account users in the app or by email before the change takes effect. The current version is always at versee.us/privacy.
